Who we are

PickupWave (“we”, “us”) provides AI receptionist services to small businesses in the United States. Contact us at hello@pickupwave.com.

Information we collect

  • Forms on our website. When you request a demo or trial, we receive what you enter: name, business, email, phone, industry, city/state and your message.
  • Conversations with Ava. If you talk to or type with Ava, our website assistant, the conversation (audio and/or text and a transcript) is processed to answer you. If you share contact details, we receive a summary so we can follow up.
  • Calls answered for our clients. When we answer calls for a client business, the caller’s voice, the call transcript and details the caller provides (such as name, number and reason for calling) are processed to answer the call and send the client a summary. Calls may be recorded. See Call recording & consent.
  • Website analytics. We use a privacy-friendly analytics provider that measures page views without cookies.
  • Email. If you email us, we keep the message and your address to reply.

How we use it

  • To answer calls and website conversations and deliver summaries to the business being called
  • To respond to you, set up and support your service, and bill you
  • To improve our receptionist scripts and service quality
  • To meet legal obligations and prevent abuse

We do not sell personal information, and we don’t use callers’ information to advertise to them.

Service providers

We rely on service providers to run the service, including AI/voice and telephony, hosting, form-processing, email and analytics providers. They process information on our behalf under their own terms and privacy policies.

Client businesses

When we answer calls for a business, that business decides what its receptionist asks and receives the call summaries. Its use of that information is governed by its own privacy practices.

Retention

We keep information only as long as needed for the purposes above, for our legitimate business records, or as required by law. Clients can ask us to delete call recordings and transcripts for their business.

Your choices

You can ask us to access, correct or delete personal information we hold about you by emailing hello@pickupwave.com. Depending on where you live, you may have additional rights under state law, and we’ll honor requests as required.

Health and sensitive information

PickupWave is not currently HIPAA compliant and does not sign Business Associate Agreements.

Children

Our services are for businesses and are not directed to children under 13.

Security

We use reasonable administrative, technical and organizational safeguards to protect information.

We’ll update this page if our practices change and revise the date above.
